How to write technician inspection notes
The four fields a finding needs before an advisor can price it, with the federal inspection standard quoted and the wording that reaches a parts catalog.
A technician's finding is the first written record of what is wrong with a vehicle. The advisor prices from it. Weeks later somebody reopens the file to check what the shop found and when. Four fields decide whether that record can be priced without a walk back to the bay.

How to write technician inspection notes an advisor can price
The change is in what the line names. A note that records the customer's experience of the vehicle leaves the advisor holding a question. Name the component and the catalog lookup happens without anyone walking back to the bay.

Each pair on that table differs by two additions: the component name and what was measured.
Why does the component name carry the note?
The document the customer approves is itemized, and in California that itemization is a statutory requirement. The repair act states it directly:
"The automotive repair dealer shall give to the customer a written estimated price for labor and parts necessary for a specific job, except as provided in subdivision (e)."
Parts necessary for a specific job. The job has to be specific before the parts can be, and the finding is where the job first gets named. A labor guide is indexed by operation on a component, and a parts catalog by part number. Neither one carries a row for what the customer felt on the freeway.
Federal rules for commercial vehicles put the same requirement in a single sentence. 49 CFR 396.11 governs the daily driver report:
"The report must identify the vehicle and list any defect or deficiency discovered by or reported to the driver which would affect the safety of operation of the vehicle or result in its mechanical breakdown."
The verbs are identify and list, and the object of the second one is a defect. A shop inspecting a family sedan sits outside that rule. Those two verbs still describe what a finding has to do before anybody can price it.
What is the position field doing?
Position changes the standard that applies. The federal inspection appendix is written that way, so two tires on the same truck fail at different depths depending on which axle they sit under. From Appendix A to 49 CFR Part 396, on any tire on a steering axle:
"With less than 4/32 inch tread when measured at any point on a major tread groove."
Every other tire on that vehicle fails under 2/32 inch by the same appendix. Brake lining is written the same way, with the threshold tied to a stated point on the part:
"Lining with a thickness less than 1/4 inch at the shoe center for air drum brakes, 1/16 inch or less at the shoe center for hydraulic and electric drum brakes, and less than 1/8 inch for air disc brakes."
At the shoe center. The standard names where to put the gauge before it names the number, and a finding written with no position leaves the advisor guessing which threshold the technician had in mind.
Which findings need a position?
Anything the vehicle carries more than one of. Brakes and tires sit at four corners. Injectors and glow plugs are numbered by cylinder. Wheel bearings, ball joints, tie rod ends, shocks, hub seals and axle seals all come in pairs or fours, and the shop orders a different quantity depending on which of them the technician meant.
Position is also what stops one finding from becoming two jobs. A note reading pads 3mm on a truck with eight pads is a question about scope before it is anything else. The version that says both sides answers it in two words.
What is a measured value worth after the customer says no?
Declined work comes back. When it does, the record of the earlier visit is the entire argument, and the number is the part of that record that still means something months later. A pad recorded at 3mm can be measured against whatever it reads on the return visit. Nothing useful can be done with a pad recorded as low.
The federal rule closes its own loop through the same field. Under 49 CFR 396.11, the carrier certifies against the listed defect:
"Every motor carrier or its agent shall certify on the driver vehicle inspection report which lists any defect or deficiency that the defect or deficiency has been repaired or that repair is unnecessary before the vehicle is operated again."
The defect that gets certified is the defect that got listed, which is why the listing has to be specific enough to close out. The declined work entry covers what a shop does with the ones the customer passes on.
What if there is no gauge for it?
Plenty of findings have no number, and they still have a value. A leak has a location and a state. Wet is a different finding from crusty, and both are different from a drip the technician can count. A belt has a crack count and the ribs those cracks cross. A bearing has play measured at the twelve and six positions. Soot tracks have a path.
Recording the condition in those terms does the same job a millimetre reading does. It gives the advisor something concrete to say and gives the next inspection something to compare against.
How much of this is the form's job?
A form with a value field beside every measurable line collects most of it without anybody thinking about it. Position works the same way when the line item already says LF brake pad. What the form leaves out becomes a habit, and habits are what a shop trains and reviews. The vehicle inspection checklist and form covers the item list, the thresholds that belong beside each one, plus the certification block that turns the whole thing into a record.
How should a technician write a finding they cannot call?
Write the uncertainty down as uncertainty. Belt cracking, hard to call from underneath tells the advisor two things: something was seen, and the technician wants the vehicle on a lift before anybody quotes a repair. That sells an inspection, which is a line the shop can schedule and bill.
Confidence is a field like the others. Leaving it blank is what makes a note ambiguous, because the advisor then has to decide on the technician's behalf how firm the call was.
What happens to the note after the inspection is marked complete?
Somebody reads it and decides which findings become jobs. Book time gets looked up for each one against the exact year, make and engine. After that the parts list has to be built and priced, and the whole result keyed onto the ticket. - A component and an operation on it. Book time is published per operation for a specific year, make and engine, so a note that never names a part has no row to look up. That is the same reason a parts catalog cannot answer a note describing a noise.
- Where should the customer's own words go?
- In the concern field, which is what the ticket gets opened on. The technician's finding is a separate record of what was checked and what it measured. Mixing the two puts a symptom in the place the advisor looks for a part.
